Expedition
Terms & Conditions.
Clear expectations. Thoughtful planning. Extraordinary journeys.
Please review these terms before reserving your place on a photography workshop, international expedition, or private photography experience.
EFFECTIVE DATE: OCTOBER 20, 2026A shared understanding from the beginning.
Thank you for choosing to explore and photograph with Andrew Slaton Photography Expeditions. Our goal is to create exceptional photographic experiences in remarkable places while maintaining clear expectations for every participant.
These terms apply to scheduled domestic photography workshops, international photography expeditions, and private photography experiences organized by Andrew Slaton Photography Expeditions, unless different terms are expressly stated in a written expedition agreement.
Please read the applicable cancellation schedule carefully before registering. Domestic and international expeditions have different payment deadlines and cancellation provisions.
Reservations & Deposits
A deposit is required to secure a place on an expedition unless otherwise specified in the individual expedition listing.
Deposits are applied toward the total expedition price and are not additional fees. For example, a $2,200 expedition with a $500 deposit leaves a remaining balance of $1,700.
All deposits are nonrefundable, except where required by applicable law or when Andrew Slaton Photography Expeditions cancels the expedition under Section 7.
A reservation is confirmed only after the required payment has been received and accepted. Space is limited, and availability is not guaranteed until confirmation.
The amount of the deposit and the total expedition price will be disclosed in the applicable expedition listing or booking agreement.
Domestic Workshop Cancellation Policy
This policy applies to photography workshops and expeditions operating within the United States, unless a specific written expedition agreement provides otherwise.
The remaining balance is due 90 calendar days before departure.
Written cancellations received on the date exactly 90 calendar days before departure remain eligible for a refund of payments beyond the deposit if received by 11:59 p.m. Eastern Time on that date.
Reservations made fewer than 90 days before departure require payment in full at booking. Those payments are nonrefundable under the standard participant cancellation policy, except where required by applicable law.
International Expedition Cancellation Policy
International expeditions require advance commitments for accommodations, transportation, local guides, permits, and other travel services. Accordingly, they are subject to a more protective cancellation schedule.
The remaining balance is due 150 calendar days before departure.
The cancellation fee includes the deposit; the deposit is not charged a second time on top of the stated percentage. Cancellation fees cannot exceed amounts actually paid, although any outstanding payment obligations remain subject to applicable law and the booking agreement.
For example, on a $5,000 international expedition with a $1,000 deposit, a cancellation received 135 days before departure would result in a $2,500 cancellation fee and, if the trip had been paid in full, a $2,500 refund.
Reservations made within 150 days of departure require payment in full at booking. The applicable cancellation charges are determined by the number of days remaining before departure at the time written cancellation is received.
Some international expeditions may have stricter supplier-driven terms. Any such exceptions must be clearly disclosed in the specific expedition listing or written booking agreement before payment.
Payments, Deadlines & Refund Processing
Final balances must be paid by the applicable deadline stated above unless different terms are expressly agreed upon in writing.
If a required balance is not paid on time, we may cancel the reservation after providing written notice and a reasonable opportunity to resolve the outstanding payment. Applicable cancellation charges will be determined under the relevant policy.
All participant cancellation requests must be submitted in writing. The date the request is received determines the cancellation period. Deadlines are calculated in calendar days, using Eastern Time.
Refunds owed under these terms will generally be issued to the original payment method within 14 business days after the amount is confirmed, subject to payment processor timelines and applicable law.
No refunds are ordinarily provided for no-shows, voluntary early departures, or unused services, except where required by applicable law.
Reservation Transfers
A participant may request a one-time transfer of their reservation to another eligible person, subject to prior written approval.
The replacement participant must accept the applicable terms, meet participation requirements, and complete any necessary registration documents.
Transfer approval may depend on timing, availability, supplier restrictions, and administrative requirements. Any additional third-party costs must be disclosed and agreed upon before the transfer.
A transfer to a replacement participant does not automatically authorize moving a deposit or reservation to a different expedition or future departure date.
Unless expressly agreed in writing, expedition payments cannot be applied to other workshops or transferred as general travel credit.
If We Cancel an Expedition
Andrew Slaton Photography Expeditions may cancel an expedition because of insufficient enrollment, serious safety concerns, natural disasters, government restrictions, or circumstances that make operating the expedition impracticable or unsafe.
If we cancel an expedition before departure, participants will receive a refund of all payments made directly to Andrew Slaton Photography Expeditions for that canceled expedition, including deposits, unless they voluntarily accept an alternative arrangement.
We are not responsible for independently purchased airfare, transportation, lodging, equipment rentals, visas, or other personal travel expenses, except where required by applicable law.
Participants should wait for written confirmation that an expedition will operate before purchasing nonrefundable travel arrangements whenever practical.
Itinerary Changes & Weather
Photography expeditions are designed around natural light, weather, seasonal conditions, wildlife behavior, accessibility, and photographic opportunities.
Published itineraries describe the intended experience but do not guarantee specific locations, conditions, wildlife sightings, activities, or photographs.
We may make reasonable adjustments to schedules, locations, activities, transportation, or accommodations for safety, weather, logistics, or photographic opportunities.
What's Included & Excluded
Each expedition listing identifies its inclusions, exclusions, accommodations, meeting arrangements, and any applicable single-room supplement.
Unless expressly included, participants are responsible for airfare, travel to the designated meeting point, meals, personal expenses, gratuities, travel insurance, and photographic equipment.
Specific written expedition details control regarding the services included in that particular booking.
Health, Fitness & Preparedness
Participants are responsible for reviewing the physical requirements of their chosen expedition and assessing their ability to participate safely.
Activities may involve uneven terrain, wet conditions, remote locations, extended periods outdoors, early departures, or limited access to medical facilities.
Please contact us before booking to discuss accessibility needs or accommodations that may affect participation or logistics. We will consider reasonable accommodation requests in accordance with applicable law.
Participants are responsible for bringing appropriate clothing, footwear, medications, and personal equipment.
Safety & Conduct
Participants agree to follow reasonable safety instructions provided by the expedition leader and authorized local guides.
Participants must respect wildlife, local communities, private property, other travelers, and protected natural environments.
Subject to applicable law, we may restrict participation or remove a participant from an activity when their conduct creates a significant safety risk or substantially disrupts the group.
Travel Documents & Insurance
Participants are responsible for obtaining valid passports, visas, permits, and other required travel documentation.
Comprehensive travel insurance is strongly recommended for every expedition, including trip cancellation, interruption, medical, and emergency evacuation coverage.
For international expeditions, appropriate medical and emergency evacuation insurance may be required as specified in the individual expedition listing or booking agreement.
Participants should consider purchasing travel insurance promptly after booking, since some benefits are time-sensitive and coverage varies by provider.
Assumption of Risk & Liability
Outdoor photography and travel involve inherent risks, including changing weather, wildlife encounters, difficult terrain, transportation incidents, illness, and limited access to emergency services.
Participants acknowledge that such risks cannot be completely eliminated and agree to exercise reasonable care during activities.
A separate assumption-of-risk agreement, participant acknowledgment, or liability waiver may be required before departure.
Nothing in these terms excludes or limits liability that cannot legally be excluded or limited.
Equipment & Personal Belongings
Participants are responsible for the security, maintenance, and insurance of their personal belongings and photographic equipment.
Appropriate equipment insurance is recommended, particularly for international travel.
Responsibility for lost, stolen, or damaged property will be determined under applicable law.
Photography & Image Rights
Participants retain ownership of photographs and other creative work they produce during an expedition.
Participants may use their photographs for personal, editorial, portfolio, or commercial purposes, subject to applicable laws, permits, privacy rights, and location-specific restrictions.
Participants should respect the privacy and image rights of fellow travelers, guides, and local residents.
We will obtain appropriate permission before using an identifiable participant's likeness in promotional materials when legally required.
Independent Service Providers
Some expeditions involve independent accommodations, transportation companies, local guides, outfitters, and other service providers.
These providers may operate under their own terms and policies.
We make reasonable efforts to select suitable providers. Responsibility for the acts or omissions of third parties will be determined under applicable law.
Private & Custom Expeditions
Private expeditions may require customized deposits, payment schedules, cancellation provisions, and itinerary arrangements based on the nature of the trip and advance supplier commitments.
Such terms will be disclosed in a written proposal or agreement before payment is accepted.
When a signed private expedition agreement specifies different terms, that agreement controls for the matters it addresses.
Changes to These Terms
These terms may be updated periodically. The version provided or made available at the time of booking governs that reservation, except for changes agreed to in writing or required by law.
